How to manage resources using combos

How to have multiple experiences share availability

Use Bókun's combo feature to share availability and resources between several products. You create an experience that's the base or parent, and then combo connect all your experiences to the base.

 

Example: You offer five different tours around Paris. All the tours include a visit to the Eiffel Tower. You can only offer 100 tickets per day to the Eiffel Tower in total. You create a base product that's called "Eiffel Tower tickets" and then connect all your experiences to that base. That way, the availability is shared, and you won't overbook the Eiffel Tower tickets.

In this example, we’ll create the base/availability product Eiffel Tower tickets - Availability and the combo products Paris tour including - Eiffel Tower and catacombs and Paris tour including - Eiffel Tower and Louvre tickets sharing availability.

 

How to create a Base product

Click Experiences > Experiences overview> Create experience. This experience will be the availability base for your other experiences. In our example, this would be the Eiffel Tower tickets - Availability product.

Add the following settings for the base product

  • Enter title and choose the type of your experience
  • Add availability for your base product.
  • Add pricing to your base product.
  • Choose Meet on location in the Meeting & pick-up section.

You do not need to enter a price in the availability product, as long as you’ll add pricing to your combos.

 

We recommend adding “Internal” or “Availability” to the title of the product to make it easier identifiable.

Tickets can be added in the ticket tab, see below for additional information on combos and tickets.

 

How to connect your Experiences' availability to the base

This section explains how to combo an experience that has already been created. Please note that you won’t be able to uncombo it has once done. If you want the experience to exist as a combo and without it, you would need to clone the experience first.

  • Click Experiences> Experiences overview.
  • Click the Experience you want to combo connect to the base product.

In the left-hand side menu, go to the Advanced then Combo settings tab. Toggle the switch to indicate that this experience is a combination of other experiences.

Hot tip: Make sure you have the Express setup disabled to be able to see this option.

You will be able to choose if a ticket is sent per combo component or just one for the combo.

Toggle is grey - Customer receives a ticket only for the combo experience. We recommend you choose this option.

Toggle is green - Customer receives a ticket for both the combo experience and the experiences that are part of the combo.

 

Connecting the start times

  • In the left-hand side menu, click Availability > Start times.
  • Click Connect with other experiences.

  • Choose yourself as the supplier and your Base product (that you just created) as Experience. Then, choose the start time you'd like to connect. Click +Add start time and then click Submit.

  • Click the 0/1 mapped below Map CSTs.

  • Connect the rates and price categories together and click Submit.

  • Click Save & continue.
  • Repeat steps 1-6 for all start times and all experiences you'd like to share availability.

Your base product availability is now shared across all the connected experiences and, if booking in one experience for 2 guests, will show 2 seats less on all other experiences that share the availability too.

 

How this will look when booked

Once we’ve combo’ed and connected both Paris tour including - Eiffel Tower and catacombs and Paris tour including - Eiffel Tower and Louvre tickets to the base, any booking will now share availability with the base product.

We’ve set the maximum number of if passengers as 15 in the base’s availability:

So now when checking our other tours Paris tour including - Eiffel Tower and Louvre tickets availability for 6 guests the 17th (same day as our booking) has no availability:
